Job Title: Program Assistant
Location: Office-based (rotating schedule)
Job Type: Full-Time (37.5 hours/week)
Pay Range: $38,900 – $47,050 (commensurate with experience)

Job Summary

This role provides technical and administrative support to departmental teams and leadership. You’ll manage data tracking, reporting, scheduling, and communication tasks that keep COA’s services running efficiently and compliantly.

Key Responsibilities

  • Collect and maintain departmental statistics and tracking sheets
  • Compile data for ODA/ODM programs to support billing accuracy and compliance
  • Communicate with county providers and ODA for HEAP reporting
  • Monitor team coverage, referrals, and departmental workflows
  • Perform administrative tasks including filing, email correspondence, mail processing
  • Audit and submit employee travel reimbursements
  • Schedule meetings, prepare materials, and take minutes
  • Order and manage departmental supplies
  • Distribute resource information from mailings, websites, and workshops
  • Collaborate with PA-Reception team to ensure office coverage during core hours

Qualifications

  • High school diploma required
  • Minimum of 2 years of relevant administrative experience
  • Advanced proficiency in MS Word, Excel, and PowerPoint
  • Strong problem-solving and organizational skills
  • Ability to manage multiple tasks and adapt to change
  • Excellent written and verbal communication
  • Valid driver’s license and reliable transportation
  • Ability to travel within Ohio
