Description

The Operations Manager manages the Research and Resolution department which includes both incoming and outgoing mailing operations. The Manager is responsible for administration of personnel and department activities, controlling expenses and ensuring that the processing meets the quality and production standards of the company.

PRINCIPAL FUNCTIONS AND DUTIES:

  • Manages the Operations area by:
    • Overseeing the employee absenteeism and tardiness report keeping by the supervisors.
    • Evaluating the Supervisors’ performance for salary promotions and profit sharing.
    • Maintaining and reviewing the employee evaluation process and program.
    • Screening new employees prior to hiring.
    • Overseeing that proper procedures for disciplining and dismissing employees are executed by the Supervisors.
    • Maintaining a high level of quality supervision by the department supervisors.
    • Defining and overseeing new employee training programs.
    • Controlling department operating costs.
    • Maintaining employee morale.
    • Insuring that the department’s quality and production standards are met and maintained.
  • Maintains and controls all reporting, shipping and delivery services by:
    • Developing, reviewing, maintaining and implementing procedures and programs which will control costs.
    • Oversees report review and shipping procedures to ensure data accuracy and timely delivery of customer reports.
    • Manages in-house and outside courier services.
    • Oversees internal report distribution assuring reports are distributed in a timely and efficient manner.
    • Manages the maintenance of the mailroom equipment and service agreements.
    • Manages the records which produce the internal and customer reports.
  • Manages the quality and production of processing by:
    • Reviewing all customer requests, evaluating their feasibility and associated cost.
    • Prepare and maintain procedures to evaluate the quality and quantity performance of each employee.
    • Initiate programs etc. in order to increase efficiencies and reduce costs.
    • Oversee procedures are properly developed and maintained for all accounts.
    • Oversee that the work is processed in a timely manner with consistent flow.
    • Evaluate staffing needs.
    • Oversee account implementation by working with Customer Service and Data Processing areas to assure an efficient and suitable program is developed.
    • Oversees processing problems are properly resolved by the Supervisors and Customer Service.
    • Develops and maintains processing standards.
    • Executes projects requested by the General Manager.
    • Control costs by reviewing expenditures for supplies and equipment.

SKILLS/ABILITIES AND MINIMUM REQUIREMENTS:

  • A high level of interpersonal skill to communicate effectively with other CIS departments.
  • An understanding of Data Processing systems, specifically data entry, and data control related.
  • An ability to manage multiple tasks and relationships simultaneously.
  • Bachelor’s degree in Business Administration or equivalent experience.
  • Four-five years operations experience in a service-related organization.
