Job Description

Responsibilities (Essential functions):

  • Manage signature process for legal documents, including preparation of cover letters and execution memos, notarization of documents and distribution of executed documents.
  • Process executed documents in DealForce, OnBase, NetDocuments, and other software programs in use from time to time.
  • Assist with filing legal documents per department procedures.
  • Compose memoranda, letters and contracts.
  • Compare original legal documents to drafts using Workshare Compare and MS Word.
  • Scan documents and maintain and archive files.
  • Research status of documents within legal department files.
  • Assist attorneys and paralegals with tracking status of deals and managing timelines.
  • Gather and provide outgoing due diligence for transactions.
  • Track incoming due diligence reports for transactions.
  • Manage mass mailing projects.
  • Schedule meetings and conference calls using Outlook.
  • Make occasional travel arrangements and prepare Concur expense reports.
  • Access reports from the company Data Warehouse.
  • Process and distribute incoming mail.
  • Communicate with other departments on legal requests.
  • Serve as backup for other departmental administrative assistants.
  • Regular, predictable attendance required.
  • Work on special projects and other duties as assigned.

Skills (Desired Abilities):

  • Strong organizational skills and attention to detail.
  • Good knowledge of general office practices and business English.
  • Excellent computer skills, especially MS Word, Excel, and Outlook, FedEx and mail merge.
  • Excellent written and oral communication skills.
  • Ability to prioritize and multi-task projects.
  • Good business judgment, discretion, and ability to maintain confidentiality.
  • Ability to work in a fast-paced, team oriented environment

Qualifications (Education and Experience):

  • Associate’s degree or commensurate office experience, preferably in a legal or real estate environment.
  • Minimum of two (2) years of experience in the performance of administrative assistant responsibilities.
  • Knowledge of Real Estate and/or Legal terminology preferred.
  • Notary public preferred
